# Set up fleets and fleet numbers

Organize vehicles into numbered fleet slots, swap the vehicle behind a slot and review which vehicle held each slot over time.

**Who can do this:** Access to fleets (the fleet permission) in your role.

A fleet is an ordered list of slots. Each slot gets a number made of the fleet number plus its position, for example fleet 12 gives slots 1201, 1202 and so on. Customers and planners can keep using that number while you swap the truck behind it. A vehicle belongs to one fleet at a time.

## Create a fleet

1. Open the side menu (☰) and choose **Fleets**.
2. Click **\+ Create fleet**.
3. Enter a **Name** and the **Fleet number (number that the customer sees)**. Both are required.
4. Optionally select teams in **Select a team...** and companies in **Select businesses...**.
5. Click **\+ Add vehicle** and search for a vehicle in **Add vehicles ...**. Repeat for each slot.
6. Drag the slots by their handle to change the order. The slot numbers follow the order.
7. Click **Save**.

## View a fleet

Click a fleet in the list. The **Vehicles** tab shows each slot number with its vehicle and license plate. Click a vehicle name to open the vehicle. The **History** tab shows which vehicle held each slot in which period.

## Change the vehicle in a slot

1. Open the fleet.
2. Click **Change vehicle** next to the slot (or right-click the slot).
3. Search for the new vehicle in **Add vehicles ...**.
4. Select it. The slot switches to the new vehicle and the change is recorded on the **History** tab.

## Move a vehicle into a fleet from the vehicle list

1. Open **Vehicles** and right-click the vehicle.
2. Choose **Switch / add to fleet**.
3. Select the fleet.
4. Under **Choose slot**, pick **Add as new slot**, an **Empty slot**, or a slot held by another vehicle (**Take over from …**, or **Swap with …** when the vehicle is already in that fleet).
5. Click **Save**.

When you take a vehicle out of its previous fleet, the slots after it in that fleet are renumbered. Transportial warns you before this happens. Taking over an existing slot keeps all other numbers unchanged.

## Edit or delete a fleet

Click **Edit** on the fleet row to change its name, number, teams, companies or slots. Click **Remove** to delete it. Fleets that contain capacity-contract vehicles cannot be removed.
