# Accept, decline and plan a transport order

Review requested and draft orders, accept or decline them, and move accepted orders on to planning, splitting or the marketplace.

Updated October 5, 2026

**Who can do this:** Permission to accept or decline transport orders. Splitting and tenders need the matching platform features.

Orders that come in as a request, or that Transportial creates automatically from an email, need a decision before they are planned. Once accepted, an order moves through its statuses as its shipments are planned and carried out.

## Accept or decline a requested order

1. Open the transport orders list and filter on the status **Requested**.
2. Click the order to open it.
3. Check the customer, shipments, stops and goods.
4. With the financial module, click **\+ Create quote** to prepare a price first, or **View quote** if the order already has one.
5. Click **Accept** at the bottom, or **Decline** to turn the order down.

You can also right-click a requested order in the list and choose **Accept** or **Decline**.

* **Accept** sets the order to **Accepted**, confirms all its shipments and accepts its quote, if there is one.
* **Decline** sets the order to **Turned down**, cancels all its shipments and closes any open tender for them.

## Review a draft order

Orders that the AI extracted from an email or file have the status **Draft**. When you open one, the original documents appear on the left. If there are several documents, use the buttons above the preview to switch between them.

1. Compare the extracted order on the right with the documents.
2. Click the pencil icon to correct the order, and save.
3. Click **Accept**, **Save as request** or **Decline**.

## Plan the order

1. Right-click the order in the transport orders list.
2. Choose **Plan**. A new trip form opens with the actions of the order's shipments.
3. Choose the vehicle and driver, check the stops and save the trip.

You can also plan shipments from the [plan board](/en-us/help/plan-board) or the [planner](/en-us/help/planner-timeline). See [Create a trip](/en-us/help/create-a-trip).

## Split the order into trips

With the capacity feature, you can split an order into legs, for example pickup by one carrier, line-haul by a second and delivery by a third.

1. Open an accepted or (partly) planned order.
2. Click the route icon (tooltip **Split into Trips**), or right-click the order in the list and choose **Split into Trips**.
3. For each **Leg**, choose the **Shipments** (leave it empty to include all), the **Origin** and **Destination** or **Use Shipment Route**, and optionally **Add Stop**.
4. Optionally choose a **Capacity Contract** to outsource the leg, and assign **Cost elements** or a **Spot Quote**.
5. Click **Add Leg** for the next leg.
6. Click **Split Order**. Transportial creates one trip per leg. Legs with a capacity contract become forwarded trips.

See [Forward a trip to a partner](/en-us/help/forward-trip-to-partner) and [Capacity contracts](/en-us/help/capacity-contracts).

## Offer the order on the marketplace

With the marketplace feature, an accepted order with shipments that are not yet offered shows the marketplace icon (tooltip **Create tender**). In the list, right-click and choose **\+ Create tender**. See [Publish a tender](/en-us/help/publish-a-tender).

## How the status changes

After acceptance you do not set the status by hand. Transportial updates it from the shipments: **Partly planned** when some shipments are on a trip, **Planned** when all are, **Current** while the transport runs and **Realized** when everything is delivered.
