# Build your own report with the query builder

Use the Reporting sub-tab to choose a record type, add filters, pick fields and sorting, and export the result to Excel or CSV.

**Who can do this:** The Insights or Reporting platform feature and the insight permission. Running queries also needs the permission to query data.

When none of the ready-made reports fits, the **Reporting** sub-tab lets you put together your own list. You choose what kind of record you want (for example trips or vehicles), add conditions, pick the fields to show and run the query. You do not have to write any code: the builder is a form.

Queries only read data. They never change anything, and they only return records from your own platform.

## Build and run a query

1. Open the dashboard and click the **Insights** tab.
2. Click the **Reporting** sub-tab.
3. Choose the record type in **Select Entity Type**: **Transport order**, **Company**, **Vehicle**, **Location**, **Chauffeur**, **Trip**, **Shipment** or **Means of transportation**.
4. Click **\+ Add filter** to add a condition (see below). Repeat for each condition you need.
5. Choose the columns you want in **Select Fields**. Leave it empty to get the whole record.
6. Choose one or more fields in **Select Sort Fields**, and pick **Ascending** or **Descending** in **Select Sort Direction**.
7. Enter the maximum number of rows in **Limit**. The default is 100; the maximum is 10,000.
8. Click **Execute query**. While it runs you see **Executing query...**.

## Add filters

Each filter row has these parts:

| Part                       | What to enter                                                                                                                                                                                                                                       |
| -------------------------- | --------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Selector**               | The field to test, for example status or name. Click the picker icon next to it to choose a field from a list. Related data uses a dotted path, such as shipment.name. Field names are case-sensitive.                                              |
| **Select comparison type** | How to compare, for example **Equal to (==)**, **Not equal to (!=)**, **Greater than (>)**, **Less than (<)**, **Is in ...** or **Not in...**. There are also options to test whether a value contains, starts or ends with some text, or is blank. |
| **Value**                  | The value to compare with. For **Is in ...** and **Not in...**, separate values with commas.                                                                                                                                                        |
| **Use Dynamic Value**      | Switch this on to compare with another field instead of a fixed value. The box then becomes **Value Selector**.                                                                                                                                     |

From the second filter on, choose **AND** or **OR** in **Select comparison link type**. A filter can contain its own filters, which lets you group conditions. Click the X on a row to remove it.

A filter row without a **Selector** is left out of the query. Fields that are not available for a record type are ignored, so if a filter seems to have no effect, check the spelling of the field name.

## Example

To list the ten most recently created trips with a given status:

1. Choose **Trip** in **Select Entity Type**.
2. Add a filter with Selector `status`, **Equal to (==)** and the status you want as the value.
3. Choose `name` and `status` in **Select Fields**.
4. Choose `createdAt` as the sort field and **Descending** as the direction.
5. Enter 10 in **Limit** and click **Execute query**.

## Read and export the results

* The table shows the number of results and 50 rows per page. Use **Previous** and **Next** to page through.
* Click the columns icon to hide or show columns in the table.
* Click **Excel** or **CSV** in the toolbar to download the results. Downloads always contain all columns, including hidden ones.
* If nothing matches, you see **No results found**. Click **Reset** to start again.

## Save a query for later

1. Build the query as described above.
2. Click **Save query** in the toolbar.
3. Enter a name in **Query name**.
4. Click **Save** or press Enter.

Your saved queries are listed under **Saved queries** below the form. Click the reload icon to load one into the form, or the delete icon to remove it.

Saved queries are stored in your current browser only. They are not shared with colleagues and do not appear on another computer or browser.
