# Work with to-dos

Create to-dos with a due date and assignee, link them to an order, trip or vehicle, follow your overview and discuss them in comments.

Updated October 4, 2026

**Who can do this:** The Todo platform feature.

To-dos help your team keep track of tasks that are not part of the planning itself: call a customer back, check a document, repair a trailer. Each to-do has a title, a due date and an assignee, and can be linked to a transport order, shipment, trip, vehicle, driver or transport equipment. To-dos live on [boards](/en-us/help/todo-boards) with lanes such as To do, In progress and Done.

## Open the to-dos

Click the home icon in the header and choose the **Todo** tab on the dashboard. Use the drop-down at the top left to switch between **Overview**, **Boards** and **My To-Do**.

## Create a to-do

1. Click **\+ Create New** and choose **To-Do**.
2. Enter a **Title** (up to 40 characters).
3. Set the **Due Date** and time.
4. Choose the board in **Board Name**. The to-do starts in the board's first lane.
5. Choose who does the work in **Assignee**.
6. Optionally choose a **Relation**, such as Transport Order or Vehicle, and then pick the record itself.
7. Optionally add a **Description**. Type @ to mention a colleague.
8. Optionally drop files under **Documents**.
9. Click **Save**.

The assignee gets a notification, and so does everyone you mention in the description.

## Statuses

You do not set the status by hand. It follows the lane the to-do is in: **To do**, **In Progress** or **Completed**. When the due date passes and the to-do is not completed, it also gets **Overdue**. Moving the due date to the future removes that status again.

## The overview

* Choose **My stats** for your own to-dos or **All stats** for everyone's.
* The tiles count the to-dos that are **To Do**, **Over Due**, **In Progress** and **Completed**, and the **Total**.
* Switch between **Week** and **Month**, and use the arrows and **Today** to move through time.
* In the week view, click a day to see its to-dos. In the month view, click a to-do to open it.

## My To-Do

A table of to-dos with their ID, related record, board, status, assignee and dates. Choose **My To-Do** for yours or **All To-Dos** for everyone's, and use the search box to find one. Drag the column headers to change the column order. Click the **To-Do ID** to open a to-do.

## Open, edit and discuss a to-do

1. Click a to-do's name, the eye icon or its ID. The details open with the description, due date, board, assignee, attachments and related record.
2. Click the pencil to change it, then click **Update**.
3. Click **Add a comment** to write a comment. Type @ to mention a colleague and click **Create**.
4. Use the pencil or bin on your own comments to change or remove them.
5. Open the **Documents** tab to see the to-do's files.

Clicking the bin on a to-do and confirming with **Remove** deletes it. There is no archive.

## To-dos on orders, trips and vehicles

Transport orders, trips, vehicles, drivers and transport equipment have a **To do's** tab; shipments have a **To-Do** section. It lists all to-dos linked to that record. Click + to create a to-do that is already linked to it; you only need to choose the board, title and assignee.

Add the **Todo** widget to [your own dashboard](/en-us/help/custom-dashboards) to keep your tasks in view next to the plan board.
