## What is Pipedrive?

Pipedrive is a sales CRM built around a visual deal pipeline. Its main records are organizations, persons and deals, with notes and activities attached to them.

## What syncs between Pipedrive and Transportial

- **Organizations ↔ business relations** (Both ways): Pipedrive organizations and Transportial business relations are kept in sync both ways. Before anything is created, Transportial looks for an existing match by VAT number, then Chamber of Commerce number, then website or e-mail domain, then name — so neither side ends up with duplicates.
- **Persons ↔ contact persons** (Both ways): The persons of an organization are kept in step with the contact persons of the matching business relation.
- **Deals ↔ quotes** (Both ways): Each quote is a deal on the organization. The deal stage follows the quote status through a stage mapping you can change, and an accepted or declined quote sets the deal status to won or lost. Optionally, a deal marked won or lost in Pipedrive accepts or declines the quote; this is off by default.
- **Transport orders and invoices → notes** (To Pipedrive): Transport orders and sent invoices are added as notes on the Pipedrive organization.

## How to connect Pipedrive

1. In Pipedrive, copy your API token from Personal preferences → API. You can also connect with OAuth through your own Pipedrive app.
2. Add the Pipedrive integration in Transportial and enter the token, or connect your app.
3. If you keep VAT and Chamber of Commerce numbers in custom organization fields, map those fields by name in the field mapping so matching can use them.
4. Check the defaults: sync direction per object, conflict policy (newest change wins), deal stage mapping, whether unknown organizations become relations (on) and which relation types are synced.

## Sync frequency and limits

- Transportial sends its own changes to Pipedrive and checks Pipedrive for changes every 15 minutes.
- Sync direction is set per object; when a record changed on both sides, the newest change wins by default.
- Changes Transportial wrote to Pipedrive are never imported again, so updates do not bounce back and forth.

## Typical use case

A regional carrier’s account managers track prospects in Pipedrive. When a quote goes out from Transportial, the matching deal moves to the stage mapped for it, and when the customer accepts, the deal is won. Organizations added in Pipedrive become relations in Transportial, so planners can take the first order without retyping the customer.

## Frequently asked questions

### What does the Pipedrive integration sync?

Organizations with business relations, persons with contact persons and deals with quotes, in both directions. Transport orders and sent invoices are added as notes on the organization.

### Where do VAT and Chamber of Commerce numbers come from?

Pipedrive has no standard field for them. Map the custom organization fields that hold them, by name, in the field mapping; matching then uses them before domain and name.

### Can a won deal in Pipedrive accept the quote?

Yes, if you switch it on. By default the deal only follows the quote. With the option on, marking a deal won or lost in Pipedrive accepts or declines the quote in Transportial.
