# Accounting mapping rules

Decide per invoice line on which ledger account, VAT code and dimensions your accounting package books it, beyond the pricing category codes.

Updated 13 October 2026

**Who can do this:** The accountingMappingRules platform feature, role level above 600 and the accounting mapping rule permissions.

Without rules, an invoice line is booked on the **Credit code** or **Debit code** of its pricing category and the codes of its tax rate. Accounting mapping rules let you choose other codes per situation, for example a separate revenue account for customers outside the EU, a cost centre per team or a project per customer. The rules are used by the accounting connectors for Exact Online, Twinfield, AFAS, Moneybird, SnelStart, e-Boekhouden and QuickBooks.

## Create a rule

1. Open **Settings**, click the **Variables** tab and go to **Accounting mapping rules**.
2. Click **New rule**.
3. Under **General**, enter a **Name** and leave **Active** on.
4. Under **When does the rule apply?**, fill in only the conditions you need: the **Accounting integration (empty: all)**, the administration, the **Invoice type** (**Sales and purchase**, **Sales invoices** or **Purchase invoices**), **Pricing categories**, teams, customers or suppliers, **Countries of the customer / supplier** (country codes such as DE, NL), **Customer / supplier in the EU**, **Transport modes** and **VAT categories**. All filled-in conditions must hold.
5. Under **Where is the line booked?**, enter the **Ledger account** and/or the **VAT code**, in the same format as the codes of your pricing categories. Empty fields keep the pricing category and tax rate codes.
6. Optional: click **Add dimension** and enter the **Dimension** and its **Code**, for example a cost centre. A rule has at most 10 dimensions.
7. Click **Save**.

Supported dimensions: Exact Online CostCenter and CostUnit, Twinfield dim2 and dim3 (cost centre and project), AFAS DiC1 and DiC2, QuickBooks class and department. Moneybird, SnelStart and e-Boekhouden only use the ledger account and VAT code.

## Put the rules in order

Rules are checked from top to bottom, and the first active rule that matches a line wins. Drag a rule to change the order, or use **Move up** and **Move down**. Put specific rules above general ones.

## Test the rules on an invoice

1. Click **Test on an invoice**.
2. Find the invoice in **Search an invoice**.
3. Click **Test**.
4. For every line, read the ledger account, VAT code and dimensions, and under **Decided by** which rule set them, or **Pricing category codes** when no rule matched.

Testing saves and sends nothing. Changed rules apply to invoices sent to your accounting package from then on.
