# Check carrier compliance and lane costs

Warn or block when a carrier, driver, vehicle or trailer lacks a valid required certificate, set a carrier status and compare carrier costs per lane.

Updated 13 October 2026

**Who can do this:** The carrierCompliance platform feature. Rules: platform administrators. Changing a carrier status needs the update:carrierStatus permission.

Carrier compliance checks that whoever does the work is allowed to do it. A carrier, driver, vehicle or piece of transport equipment is **not available** when the carrier is blocked or when a required certificate is missing or not valid at the time of the work. Depending on your settings, Transportial then warns you or refuses the assignment.

## What is checked

| Finding | Effect |
| ----------------------------------------------------------------------- | ------------------------------------ |
| Carrier status **Blocked** | Not available. |
| A required certificate is missing, or not valid on the date of the work | Not available. |
| Carrier status **Warning**, or a certificate that expires soon | Shown as a warning; still available. |

The check runs when you put a driver, vehicle or equipment on a trip, when you forward a trip under a capacity contract, when you offer a tender or accept a bid, and when recommendations are ranked. Assignments made by integrations or by the carrier itself are not checked.

## Plan with the check

1. Choose the vehicle on the **Intern** tab, or the capacity contract on the **Forwarded** tab, of the trip form.
2. Read the notice that appears below it if something is not available, for example _Required certificate CMR insurance is missing_.
3. If it says _Not available; you can still save._, decide whether to continue.
4. If it says _Saving will be refused: this is set to block._, choose another resource or carrier.
5. Click **Save**.

## Set a carrier status

1. Open the business of the carrier and stay on the **Information** tab.
2. In the **Carrier status** block, click **Change carrier status**.
3. Choose the **Status**: **Not assessed**, **Approved**, **Warning** or **Blocked**.
4. Enter a **Reason**. It is shown with every warning about this carrier.
5. Click **Save**. The block shows when and by whom the status was set.

## Record certificates

1. Open the driver, vehicle, transport equipment or business.
2. Click the **Certificates** tab and click **Create Certificate**.
3. Choose the **Certificate type**, and fill in **Valid from** and **Valid until**.
4. Optionally attach the document, and click **Save**.

A certificate counts for the work when it is valid on the date the trip starts. For drivers, see also [Record driver licences and certificates](/en/help/driver-certificates).

## Compare carrier costs on a lane

When you create or edit a trip on the **Forwarded** tab, the table **Cheapest carriers on this lane** shows what forwarded trips on the same lane cost before: per carrier the number of **Trips**, the **Average** and **Lowest** expected cost, the **Average actual** cost and the date of the **Last** trip. A carrier that is not approved shows its status. A lane is the country and the first characters of the postcode of the first and last stop.

## For administrators: set the rules

1. Open **Settings**, click the **Environment** tab and open the **Compliance** section.
2. Go to **Carrier compliance**.
3. Choose what happens for **Assigning an unavailable chauffeur, vehicle or transport equipment** (**Warn** by default) and for **Forwarding to or tendering with an unavailable carrier** (**Block** by default). **Off** skips the check.
4. Leave **Leave unavailable resources and carriers out of recommendations** on, or switch it off.
5. Under **Certificate types**, pick one from **Add a common type…** (CMR insurance, Community licence, ADR driver certificate, ATP certificate) or click **Add certificate type**.
6. Per type, set the **Name**, the **Code (stored on certificates)**, **Applies to** (chauffeur, vehicle, transport equipment or carrier), **Required (unavailable without a valid one)**, **Required for** (**All work**, **Dangerous goods (ADR)** or **Temperature-controlled work**) and the warning days before expiry.
7. Optionally change the lane cost history: the look-back in months (12 by default), the postcode characters that make a lane (2 by default; 0 is country to country) and how many carriers are shown (10 by default).
8. Click **Save**.

Certificates that are about to expire also raise compliance alerts. See [Monitor compliance](/en/help/compliance).
