# Bill-to parties and credit control

Invoice another party than the ordering customer, and check credit limits, blocked customers and prospects when orders are entered.

Updated 13 October 2026

**Who can do this:** Internal users. Credit control needs the creditControl platform feature; saving a refused order needs the override:creditLimit permission.

The bill-to party is the business that receives the invoice for an order. By default that is the customer who ordered the transport. Credit control checks the bill-to party's credit before an order is accepted, so you do not keep transporting for customers who do not pay.

## Set a default bill-to party for a customer

1. Open the business of the customer and click the pencil icon (**Edit**).
2. Choose the business that pays in **Default bill-to party**, for example the head office.
3. Click **Save**.

New transport orders of this customer get this bill-to party automatically. The business page shows it as **Default bill-to party**.

## Choose the bill-to party of an order

1. Open the transport order form.
2. In **Bill-to party**, choose the business in **Invoice another party (optional)**. Leave it empty to invoice the customer.
3. Save the order.

Invoices made automatically from price configurations and invoices made from the order's quote are addressed to the bill-to party, and show the customer under **Ordered by**. The VAT rules of your price configurations also look at the bill-to party. Revenue is still reported per ordering customer.

## Switch on credit control

1. Add **creditControl** to the platform features in **Settings** \> **Environment** \> **General** \> **Functions**.
2. Expand **Financial** and go to **Credit control**.
3. For **Credit limit exceeded** (default **Warn**), **Blocked customer** (default **Block**) and **Prospect (quotes only)** (default **Warn**), choose **Off**, **Warn** or **Block**.
4. Leave **Count uninvoiced active orders in the open amount** on to count accepted, planned and running orders that have no invoice yet.
5. Click **Save**.

## Set the credit status and limit of a customer

1. Open the business and click the pencil icon (**Edit**).
2. Choose the **Credit status**: **Active** (the default), **Prospect** (send quotes, not orders) or **Blocked** (no new orders).
3. Enter the **Credit limit**, or leave it empty for **No limit**.
4. Click **Save**.

The business page shows a **Credit** tile with the **Credit limit**, the **Open** amount and what is still **Available**. The open amount is the total of its unpaid sent invoices plus, if you count them, its uninvoiced active orders.

## What happens when an order is entered

The check runs when an order is created or confirmed, from the app, the API, imports and the customer portal. It looks at the bill-to party (or the customer when there is none); a blocked or prospect status of the ordering customer counts too.

* **Warn**: the order form shows a warning, for example that the customer would exceed its credit limit, and you can save the order.
* **Block**: the form says **Saving this order will be refused.** Users with the override permission can tick **Override the credit check** and save anyway. The predefined **Finance** role has this permission.
* In the customer portal, a refused order request tells the customer that you can't accept new orders for their account right now.
