# Read documents with a file template integration

Teach Transportial where values sit in a document layout, such as a customer order form, so files in that layout are read automatically.

**Who can do this:** Role level 800 or higher and the integration permission.

Many customers send orders as PDF, Word or Excel files that always look the same. A file template integration describes that layout once: which value sits where, and which Transportial field it fills. Files in the same layout can then be read automatically, for example when you create an order from a file.

## Before you start

* Have a sample file in the layout you want to read. Supported files include PDF, Word, Excel, CSV, XML and images.

## Create the template

1. Open the side menu (☰, top right), choose **Integrations** and click **\+ Create integration**.
2. Enter a **Name**, for example the customer and document name.
3. In **Select integration type**, choose **File template integration**. The panel widens.
4. In **Select entity**, choose what the file creates, usually a transport order.
5. Drop your sample file on the upload area, or click it to choose the file.
6. Click **\+ Add field** for each value you want to read.
7. Set up each field (see below).
8. Click **To test** and check the result.
9. Set **Off/On** to on and click **Save**.

## Set up a field

* **Select selector type**: how the value is found.  
  * **HTML**: the value is found in the document's text structure.
  * **Matrix**: the value sits at a position in the page grid.
  * **Text variable position**: the value is found relative to a label, for example the text to the right of "Delivery date". Use **Top**, **To the right**, **Bottom** and the left-hand option to say where.
* **Selector**: what to look for.
* **JSON mapping**: the Transportial field the value goes into.
* **Select field type**, **Format** and **Regex**: read dates and numbers correctly and pick out part of a text.

The **Matrix** and **HTML** tabs next to the fields show how Transportial sees your sample file and highlight what your selectors find. Use them to fine-tune positions. Switch on **JSON mode** to edit all fields as text.

Mark the field that identifies the order (for example the customer's order number) with **Identification**, so a corrected file updates the order instead of creating a second one.

## Use the template
