# Manage a chat

Add or remove chat members, set their permissions, rename or delete a chat, and connect it to WhatsApp, SMS, Telegram or email.

Updated 4 October 2026

**Who can do this:** Not available to external users.

Each chat has a management panel. There you see who takes part, change what each member may do, update the name and picture, and connect the chat to an external channel so that messages also go to, for example, WhatsApp.

## Open the management panel

1. Open the chat on the **Messages** page.
2. Click the options menu (⋮) at the top of the chat.
3. Choose **Manage chat**. The panel opens with four tabs: **Overview**, **Members**, **Integrations** and **Settings**.

## Overview

Shows whether the chat is **Private** or **Public**, the number of **Members** and **Integrations**, the **Last activity** and when it was **Created**. For vehicle and consignment chats, **Linked to** shows the vehicle or consignment (and its transport order).

## Members

1. Click the **Members** tab.
2. To add people, type a name in **Add people ...** and pick them. New members get the **Chat** permission.
3. To change what a member may do, choose a permission next to their name.
4. To remove a member, click the remove icon next to their name and confirm.

| Permission | Meaning |
| ---------- | ------------------------------------ |
| **Admin** | Can read, write and manage the chat. |
| **Chat** | Can read and write messages. |
| **Read** | Can only read messages. |
| **None** | Has no access to the messages. |

## Settings

1. Click the **Settings** tab.
2. Click **Choose a picture** to set a chat picture.
3. Change the **Group name** if needed.
4. Switch on **Public chat (anyone in the platform can read)** to let everyone on your platform read along.
5. Click **Save**.

Under **Danger zone**, **Delete chat** permanently removes the chat and all of its messages. This cannot be undone.

## Connect an external channel

On the **Integrations** tab you link the chat to WhatsApp, SMS, Telegram or email. You need an integration for that channel first, for example a WhatsApp or SMS provider set up by your administrator; see [Integrations](/en/help/integrations).

1. Click the **Integrations** tab.
2. Click **Add integration**.
3. Choose the integration in **Select an integration**.
4. Choose the **Channel type**: **E-mail**, **WhatsApp**, **SMS** or **Telegram**.
5. Enter the **External identification**: the phone number (for example +31612345678), email address or account to link.
6. Optionally enter a **Display name**.
7. Click **Add**.

Each linked channel shows two switches. **Incoming** brings messages from the external channel into the chat. **Outgoing** lets you send messages from the chat to that channel. Click the delete icon to remove a link.

In the chat, channel icons next to the title show which channels are connected. Messages that arrived through a channel show where they came from, and when you write a message you can tick **Send to external channel**.
