# Organise users in teams

Create teams with members and managers, give their orders a number prefix and assign new orders to a team automatically with rules.

Updated 4 October 2026

**Who can do this:** The team permission.

Teams group users who work together, for example per branch, customer group or department. A team has members and managers, can give its orders and consignments their own number prefix, and can claim new orders automatically. Teams are also used elsewhere, for example to limit which invoices users see, to notify a team's managers when a trip is cancelled, and to link users to a settings group.

## Open the teams list

1. Open the side menu (☰, top right) and choose **Teams**.
2. Search with the search box, or scroll to load more teams.

The table shows each team's **Name** and **Number of users**.

## Create a team

1. In the teams list, click **\+ Create team**. The **New team** panel opens.
2. Enter a **Name**.
3. Optionally, enter a **Transport order prefix** and a **Consignment prefix**. New orders and consignments of this team get numbers that start with these letters.
4. Add the members in **Add users...**.
5. Add the team leads in **Add managers...**.
6. Optionally, add assignment rules (see below).
7. Click **Save**.

## Assign new orders to a team automatically

Under **Order auto-assignment rules** you decide which orders this team takes. When an order has no team yet, it is assigned to this team if one of the rules matches.

1. Click **\+ Add assignment rule**.
2. Give the rule a **Name**, for example "Orders for customer X".
3. Add one or more conditions with **\+ Add filter**, for example the customer or the loading country.
4. Check that **Enabled** is switched on.
5. Use **Order** to set the sequence of the rules.
6. Click **Save**.
* Rules are checked in order; the first match wins.
* A rule without conditions matches every order.
* If the rules of several teams match the same order, **Assignment priority** decides: the team with the lowest number wins. Teams with the same priority are compared by name.

A team without enabled rules never claims orders automatically. You can still pick the team on the order yourself.

## Edit or delete a team

* Click **Edit** at the end of the row. The **Update team** panel opens. Change the fields and click **Save**.
* Click **Remove** at the end of the row and confirm with **Remove** in the **Delete team** dialog.
