# Automate work with workflows

Create workflows from a template or a blank canvas, switch them on, run them by hand and keep track of their status.

**Who can do this:** The Workflows feature on your platform and role level 300 or higher.

A workflow is a chain of steps that runs by itself: when something happens (for example a trip is delayed), on a schedule (for example every morning), or when you start it. Steps can check conditions, change records, call other systems, wait and send messages. Use workflows for routine follow-ups that you would otherwise do by hand.

## Open your workflows

1. Open the side menu (☰, top right) and choose **Workflows**.
2. Search with the search box, or scroll to load more rows.
3. Click a workflow to open it in the designer.

The table shows **Name**, **Status**, **Trigger Event**, **Enabled** and **Last Executed**. You can also show **Created** and **Updated**.

## Create a workflow

1. In the workflows list, click **\+ Create workflow**.
2. Choose **Blank workflow** to start from an empty canvas, or click one of the templates. Templates are grouped by category and cover automations that many transport companies use.
3. The workflow opens in the designer. A template is copied for you and starts switched off, so nothing runs until you have checked it.
4. Enter a name in **Workflow name...** at the top.
5. Build or adjust the steps. See [Build a workflow in the designer](/en/help/workflow-designer).
6. Click **Save**.

## Switch a workflow on or off

1. Open the workflow.
2. Use the switch in the toolbar. It shows **Enabled** or **Disabled**.
3. Click **Save**.

Only enabled workflows react to their trigger. A disabled workflow keeps its steps and settings.

## Run a workflow by hand

Open a saved workflow and click **Execute** in the toolbar. The workflow runs once straight away. This is useful to try it out, or for workflows you only want to run on request.

## See past runs

1. Open a saved workflow.
2. Click **Execution history** in the toolbar. The list shows each run with its **Status**, **Started at**, **Completed at**, **Duration** and **Error**.
3. Click a run to open its **Execution details**: the **Steps** that ran. Click a step to expand it and see its times, any **Error**, and its **Input** and **Output**.

A run is **Running**, **Waiting** (for example in a delay), **Completed**, **Failed** or **Cancelled**. If you see **No executions found**, the workflow has not run yet.

## Workflow statuses

| Status       | Meaning                              |
| ------------ | ------------------------------------ |
| **Draft**    | The workflow is still being built.   |
| **Active**   | The workflow is in use.              |
| **Paused**   | The workflow is temporarily stopped. |
| **Archived** | The workflow is no longer used.      |

## Edit or delete a workflow

* Click **Edit** at the end of the row to open the designer.
* Click **Remove** at the end of the row and confirm with **Remove** in the **Delete Workflow** dialog.

For messages that should go out on a fixed event, such as a delivery confirmation to the customer, a message automation is often simpler. See [Message automations](/en/help/message-automations). A workflow can also start message automations as one of its steps.
