Set up the carrier portal
Let your subcontractors log in to see the trips you forward to them and report ETAs, driver and vehicle, and PODs and CMRs back to you.
Updated October 13, 2026
The carrier portal gives the carriers you subcontract to their own login. A carrier sees only the trips you forward to its business and reports back how the work goes: arrival times, the driver and vehicle, and documents such as PODs and CMRs. It is the same portal your customers use, with an extra Trips page.
Which trips a carrier sees
A carrier user sees a trip when the trip is Forwarded and its capacity contract is with one of the businesses linked to the user. Trips with a status you hide stay invisible; by default that is Draft, so trips you are still preparing stay internal. See Forward a trip to a partner.
Switch on the carrier portal
- Open the side menu (☰) and choose Settings.
- Open the Environment tab and expand General.
- Add carrierPortal to Functions.
- Expand the Customer portal section. It now contains a Carrier portal part.
- Choose what carriers may do (see below).
- Click Save.
| Setting | What it does |
|---|---|
| Carriers may execute their trips (status, ETAs, documents) | On by default. Carriers start and finish trips and stops, report arrival times and upload documents. Switched off, the portal is read-only. |
| Carriers may report driver and vehicle | On by default. Carriers fill in the driver's name and phone, the vehicle and the equipment. |
| Trip statuses hidden from carriers | Trips with these statuses do not appear in the portal. Draft by default. |
Invite a carrier
- Open the side menu (☰) and choose Users.
- Click + New user and enter the first name, last name, username and e-mail address.
- Choose the predefined Carrier role in Select role.
- In Select account type, choose Supplier.
- In Companies this user can see, choose the carrier's business: the business its capacity contracts are with.
- Choose the language and click Invite.
Send the carrier Use the carrier portal. Its other portal pages, such as Orders and Chat, follow the same Show ... switches as for customers. The predefined Carrier role does not include quotes and invoices; give the role the permissions to search and open quotes and invoices if carriers should see the quotes and invoices they sent you.
What comes back to you
- Stop progress and trip status, as when a driver executes the trip.
- Arrival estimates: a reported ETA is copied onto the stop, so your planning views show it straight away.
- The driver and vehicle: on the trip's Booking tab under Driver and vehicle.
- Documents and photos: on the trip.
To react to what a carrier reports, for example to tell the customer about a new ETA, use a message automation on After updating a trip. See Message automations.
Prices stay private
Carriers see the trip as they execute it, never what your customer pays. They keep only their own purchase side, such as the quotes and invoices they sent you.
If you block forwarding to a carrier through carrier compliance, it keeps its forwarded trips and can finish them; the portal tells it that no new trips will come. See Check carrier compliance and lane costs.
