Use the customer portal

For customers: follow orders, request, change or cancel transports, upload documents, accept quotes and charges, and view invoices.

Updated October 13, 2026

Who can do this: A customer-portal account from your transportation company. Pages and order tools depend on what the company has switched on.

This article is for customers of a transportation company that uses Transportial. With a portal account you can follow your transports and handle quotes and invoices without phoning or e-mailing the planners. Your transportation company decides which pages and tools you see, so some of the parts below may be missing.

Overview

After you log in you see the Overview. It shows tiles for Active Orders, Pending Quotes, Open Invoices and Total Orders, an Order Status Breakdown, your Active Shipments with their pickup and delivery, and your Recent Quotes. Click a tile or View all to go to the full list.

On a phone, the first pages are in the bar at the bottom of the screen; tap More for the rest. If your account belongs to several transportation companies, choose the company in Company in the side bar.

Follow your orders

  1. Click Orders in the side bar.
  2. Search with Search orders... or scroll the list. It shows the order reference, name, route, delivery conditions, number of shipments, status and creation date.
  3. Click an order to open it. Track & Trace shows how far the order is.
  4. Read the shipments with their locations, dates and goods (weight, dimensions, load meters).
  5. Click Download next to a document to save it.
  6. Click Back to return to the list.

Live Tracking shows your Active Orders on a map, with the trip of each order. Watchtower gives an overview of the progress of your transports. Your transportation company can also send you a tracking link per shipment, which opens a tracking page without logging in.

Request a new transport

  1. Click New Request.
  2. Under General Information, enter the Order Name (required), your Reference and a Description.
  3. Under Pickup, search the Pickup Location and set the Date & Time and, if needed, the Time Window End.
  4. Do the same under Delivery.
  5. Under Goods & Equipment, describe each item: description, Weight (kg), Quantity, length, width and height in cm, and tick Hazardous goods (ADR) if it applies. Click Add Item for more.
  6. Add Additional Notes such as handling instructions.
  7. Click Submit Request.

You see Request Submitted!. The transportation company reviews the request and you are notified. Choose View My Orders or Create Another Request.

Your transportation company may use order cut-off times. If the pickup date is too soon, the form tells you the deadline and the earliest pickup date you can still book. Depending on the company's choice, the request is refused until you pick a later date, or sent with a warning that pickup on that date cannot be guaranteed.

Change or cancel an order

  1. Open the order.
  2. Under Change or cancel this order, click Request a change or Request cancellation.
  3. For a change, edit what you need, such as dates, references, goods or addresses, and optionally give a Reason (optional). Click Send request.
  4. For a cancellation, optionally give a reason and click Send cancellation request.

The panel tells you whether the planners review your request or it is applied straight away, and until when requests are possible. Your request shows its status: Waiting for approval, Approved, Rejected or Withdrawn, with any note from the planner. Click Withdraw to take back a request that is still waiting. When changes are no longer possible, for example because loading has started, the panel says so.

Upload a document

  1. Open the order and go to Upload a document.
  2. Choose the Document type.
  3. If the order has several shipments, choose the shipment or Whole order.
  4. Optionally enter a Name (optional), choose the file and click Upload.

Accept or decline a quote

  1. Click Quotes.
  2. Click a quote with the status Open.
  3. Check the lines. Lines marked optional can be ticked or unticked; the total updates.
  4. Click Accept or Decline.

The Documents filter on the Quotes and Invoices pages switches between Received (documents the transportation company sent you, the default) and Sent (documents your company sent them).

If charges were added to an order after the price was agreed, the order shows them under Extra charges. They are only invoiced once you approve them: click Approve or Reject on each charge and confirm.

Invoices, documents, chat and settings

  • Invoices: your invoices with their expiration date, total and status, such as Open, Paid or Too Late. Click one to see the details and download the PDF.
  • Documents: files shared with you, such as CMRs and delivery notes. Click a row to open the file.
  • Chat: conversations with the planners about your shipments.
  • Notifications and Settings: your notifications and personal preferences.

Cannot find an order or invoice? Your account only shows the companies the transportation company linked to it. Ask your contact there to check your access.
