HubSpot integration

Two-way sync of companies, contacts and deals with your relations, contact persons and quotes; orders and invoices logged as notes.

What is HubSpot?

HubSpot is a CRM platform with marketing, sales and service tools. Sales teams at transport and logistics companies use it to manage accounts, contacts and their deal pipeline. Transportial connects to it through the HubSpot CRM v3 API.

What syncs between HubSpot and Transportial

  • Both ways

    Companies ↔ business relations

HubSpot companies and Transportial business relations are kept in sync both ways. Before anything is created, Transportial looks for an existing match by VAT number, then Chamber of Commerce number, then website or e-mail domain, then name — so neither side ends up with duplicates.

  • Both ways

    Contacts ↔ contact persons

The contacts of a HubSpot company are kept in step with the contact persons of the matching business relation.

  • Both ways

    Deals ↔ quotes

Each quote is a deal on the company. The deal stage follows the quote status through a stage mapping you can change. Optionally, a deal marked won or lost in HubSpot accepts or declines the quote; this is off by default.

  • To HubSpot

Transport orders and invoices → notes

Transport orders and sent invoices are logged as notes on the HubSpot company, so account managers see what a customer ships and is billed for without leaving the CRM.

How to connect HubSpot

  1. In HubSpot, create a private app with read and write access to companies, contacts and deals (the crm.objects.companies, crm.objects.contacts and crm.objects.deals scopes) and copy its access token. You can also connect with OAuth through your own HubSpot app.

  2. Add the HubSpot integration in Transportial and enter the token, or connect your app.

  3. If you keep VAT and Chamber of Commerce numbers in custom HubSpot properties, map them in the field mapping so matching can use them. Other custom fields are mapped the same way.

  4. Check the defaults: sync direction per object, conflict policy (newest change wins), deal stage mapping, whether unknown HubSpot companies become relations (on) and which relation types are synced.

Sync frequency and limits

  • Transportial sends its own changes to HubSpot and checks HubSpot for changes every 15 minutes.
  • Sync direction is set per object, so contacts can sync both ways while deals only go to HubSpot, for example.
  • When a record changed on both sides, the newest change wins by default; the conflict policy is a setting.
  • Changes Transportial wrote to HubSpot are never imported again, so updates do not bounce back and forth.
  • Companies already linked by the earlier HubSpot connector keep their link.

Typical use case

A carrier’s account managers work in HubSpot, while planning, quoting and invoicing run in Transportial. A shipper that sales adds in HubSpot shows up as a relation within 15 minutes — matched on VAT number if operations already had it. Every quote the planners send appears as a deal in the right stage, and the orders and invoices that follow are logged on the company, so account managers see what each customer actually ships.

Frequently asked questions

What does the HubSpot integration sync?

Companies with business relations, contacts with contact persons and deals with quotes, in both directions. Transport orders and sent invoices are added as notes on the HubSpot company.

Will the sync create duplicate companies?

No. Before creating a company or a relation, Transportial looks for a match by VAT number, Chamber of Commerce number, website or e-mail domain and name, in that order. Map the HubSpot properties that hold VAT and Chamber of Commerce numbers so they can be used.

Can a won deal in HubSpot accept the quote?

Yes, if you switch it on. By default the deal stage only follows the quote status. With the option on, marking a deal won or lost in HubSpot accepts or declines the quote in Transportial.

We used the previous HubSpot connector. Do we start over?

No. Companies already linked to HubSpot keep their link, so the two-way sync continues with the same records instead of creating new ones.
