Operational TMS (OTMS)

An Operational TMS (OTMS) is a transportation management system that covers the full day-to-day execution of transport — planning, fleet, drivers, tracking, communication, and finance — not just freight procurement or visibility.

What is an operational TMS (OTMS)?

The term "operational" distinguishes this category from procurement-focused platforms (freight marketplaces, tendering tools) and from pure visibility networks. An OTMS is where the actual work of running transport happens every day: building trips on a plan board, assigning drivers, optimizing routes, capturing proof of delivery, and closing the financial loop with invoicing.

In practice an OTMS covers the whole life of a shipment: order intake (by hand, by API, by EDI or extracted from an e-mail), planning on a board or with a VRP solver, dispatch to the driver's phone, live tracking and ETA updates, proof of delivery, transport documents, and finally pricing, invoicing and self-billing of subcontractors. Each step reads the data the previous one wrote, so nothing is entered twice.

Other software categories cover parts of that chain. A procurement or tendering platform helps a shipper select carriers and manage rates. A visibility platform aggregates tracking data from many carriers and predicts ETAs. A freight exchange matches loads with spare capacity. An ERP transport module records shipments for finance. None of them plans and executes the work itself; that is the job of the OTMS.

Typical users are carriers with their own fleet, forwarders and logistics service providers that plan subcontracted capacity next to their own, and shippers running a private fleet. What they share is that someone decides every day which vehicle, driver and trailer does which job, and then has to make sure it happens.

Example: an order for six pallets arrives by e-mail at 09:00. It is extracted into a transport order, the planner drops it onto an existing Trip on the plan board, the driver sees the extra stop in the app and captures the signature at 15:30, and the invoice line is ready that evening, all in one system.

Transportial is built as an operational TMS: a plan board and trip optimization for planning, the OpenMove driver app for execution, and pricing and invoicing to close the loop, with integrations for telematics, accounting and partner systems.

Frequently asked questions

How is an OTMS different from a visibility platform?

A visibility platform tracks shipments and predicts ETAs, but does not plan trips, manage your own fleet, or handle invoicing. An OTMS includes visibility as one capability within a complete operational platform.

Does an operational TMS replace an ERP?

No. The OTMS runs transport operations and produces the invoices and cost lines; the ERP or accounting package keeps the general ledger, payables and payroll. The two are connected, so financial records flow from the TMS into accounting.

Who needs an operational TMS?

Any company that plans and executes transport itself: carriers with their own trucks, forwarders and logistics service providers that dispatch subcontractors, and shippers with a private fleet. If planning still lives in spreadsheets, phone calls and a whiteboard, an OTMS is the system that replaces them.
