Create and manage document templates

Build your own PDF layouts for orders, shipments and trips, start from a catalog design, and duplicate or delete templates.

Who can do this: The Document Templates menu item needs permission for document templates.

A document template is a page layout that Transportial fills with the data of an order, shipment, trip or other record and turns into a PDF. Use templates for your own waybills, loading lists, order confirmations or a CMR on your own form.

Open the templates list

  1. Open the side menu (☰, top right).
  2. Click Document Templates.
  3. Use Search... or the Document Type filter to find a template.
  4. Click a template to open it in the designer.

The list shows the Template Name, Document Type, Entity Type and dates.

Create a template

  1. Click New Template.
  2. Choose how to start. Click the New Template tile (+) for an empty page, or click one of the catalog designs, grouped by category.
  3. The designer opens. A catalog design is copied for your platform and is not saved yet.
  4. Enter a Template Name in the toolbar.
  5. Choose the Document Type and the Entity Type.
  6. Design the page. See Design a document template.
  7. Click Save.

Do you already have a paper or PDF form you want to reproduce? Use Generate with AI in the designer to recreate it from a photo or PDF.

Document types and entity types

The Entity Type decides which data the template can use and where you can download it. The Document Type labels what kind of document it is.

Download from Template is offered on transport orders, shipments and trips, and only lists templates with the matching entity type. Choose the entity type before you bind fields, because the available fields depend on it.

Edit, duplicate or delete a template

  • Choose Edit in the row actions, or click the row, to open the template in the designer.
  • Choose Duplicate to create a copy, for example to make a variant for one customer.
  • Choose Remove and confirm in Delete Template to delete it.

Deleting a template cannot be undone. Message automations and capacity contracts that use the template can no longer attach it.

Where templates are used

  • Download from Template on transport orders, shipments, trips and the plan board. See Download a document from a template.
  • Document template attachments in a message automation: the templates are rendered and attached to the outgoing message. See Message automations.
  • Capacity contracts that send orders to a carrier as a PDF can use a template for that PDF. See Capacity contracts.
