Find and manage documents

Browse all files of your platform, preview them, edit their details, mark them as verified and remove documents you no longer need.

Who can do this: The Documents menu item needs permission for documents.

Documents are the files stored in Transportial: order confirmations, delivery notes, proof-of-delivery photos, certificates and more. Each document belongs to something, such as a transport order, shipment, trip or company. The Documents page lists them all in one place.

Open the documents list

  1. Open the side menu (☰, top right).
  2. Click Documents.
  3. Type in Search... to find a document by name or other details.
  4. Scroll down to load more documents.
  5. Click a row to open the document.

By default the list shows the Name, Created At and Updated At. You can add the Description, Mime Type, Valid Until and Public columns. A tick next to the name means the document is verified.

Filter the list

  • Verified: show only Verified or Not verified documents.
  • Mime Type: show only PDF, JPEG, PNG, Excel, Word or CSV files.
  • Valid until: show documents that expire within a date range, for example to find certificates that need renewing.

Add documents

You add documents where they belong, not on the Documents page itself:

  • Open a transport order, shipment, trip or company, go to its Documents tab and drag files onto the list (Drop here).
  • Or use the Documents field in the order or shipment form.
  • Drivers add photos and signatures from OpenMove at a stop. See Proof of delivery in OpenMove.

View a document

The document view shows a preview of the file (PDF, images and Office files) and its details: the ID, Name, Mime Type, File Name and Description.

Edit a document

  1. Open the document and click the pencil icon, or choose Edit in the row actions of the list.
  2. Change the Name (required) and the Description.
  3. Set a Valid until date for documents that expire, such as permits or insurance papers.
  4. Switch on Public (visible to customers) if customers may see the document.
  5. Click Save.

Verify a document

  1. Open the document.
  2. Open the Verification dropdown.
  3. Choose Verify. You see Document verification successful! and a tick appears next to the name.
  4. To withdraw it, choose Invalidate.

Verification and editing are not available to external users, such as customers using the portal.

Remove a document

  1. Choose Remove in the row actions of the document.
  2. Read the question Are you sure you want to remove this document?
  3. Click Remove to confirm, or Cancel to keep it.

Check that nobody still needs the document, for example as proof of delivery, before you remove it.
