Set up fuel and road tax reporting
Enable fuel and road tax schemes, enter your base jurisdiction and license, fill in vehicle tax data and check the jurisdiction of fuel purchases.
Updated October 18, 2026
Fuel and road tax reporting is a module. When the fuelTaxReporting feature is on for your platform, the Fuel taxes page, the settings, the vehicle fields and the fuel transaction columns described here appear. When it is off, none of them are shown.
Give access
Users need the read:fuelTax permission in their role to see Fuel taxes in the side menu and open the reports. Without it, the page shows "You do not have access to the fuel tax reports." See Roles and permissions.
Choose the schemes and settings
- Open the side menu (☰, top right), choose Settings and click the Environment tab.
- Expand Fuel & road taxes.
- In Enabled schemes, choose the schemes you file, for example IFTA and the Oregon Weight-Mile Tax. Each scheme shows its legal basis and Source.
- In Base jurisdiction, choose the country and the state or province where your fuel tax license is registered.
- Enter your IFTA license number. It is printed on the export.
- In Fuel types, choose the fuels you report. The first one is the default of the fuel tax return.
- Check the GPS settings (see the table below).
- Click Save at the bottom of the page.
| Setting | Default | What it does |
|---|---|---|
| Largest GPS gap to bridge | 50 km | A jump between two GPS positions longer than this is reported as a GPS gap with a warning. The distance still counts, along a straight line. |
| Highest plausible speed between GPS positions | 160 km/h | A position that would mean a higher speed is skipped as a GPS error, unless the next position confirms it. |
| Recent days recalculated on every request (late GPS positions) | 1 | How many days, counting back from today, are calculated again every time instead of kept. 1 means only today. Raise it when your board computers send buffered positions days later. |
Rate overrides
Rates come with each scheme. When a jurisdiction changes its rate in the middle of a quarter, or the official rate is not in Transportial yet, add an override:
- Under Rate overrides, click Add rate override.
- Choose the Scheme, the Year and the Period (the quarter or month).
- Choose the Jurisdiction.
- Choose the Fuel type, or All fuel types.
- Enter the Rate (per gallon) and, if the jurisdiction has one, the Surcharge (per gallon).
- Click Save. Click Remove on a row to delete an override.
Fill in the vehicle data
- Open the side menu (☰) and choose Vehicles.
- Click Edit on the row of the vehicle.
- Go to the Fuel & road taxes section.
- Fill in the fields (see the table below) and click Save.
The section only shows the fields your enabled schemes need. Base jurisdiction and Plate jurisdiction are always shown. The Euro class comes from the vehicle's Emission standard: the Italian refund needs Euro V or higher, and the Swiss heavy vehicle charge sets its rate by it.
| Field | Used by | What to enter |
|---|---|---|
| IFTA qualified vehicle | IFTA | Leave it on Automatic (3 or more axles, or over 26,000 lb), or choose yes or no. |
| Registered gross weight | IFTA, the distance taxes and the refunds | The registered or declared weight. Empty uses the vehicle's Maximum Weight, with a warning. |
| Axle count | IFTA, Oregon | The registered number of axles of the combination. Empty counts the vehicle's axles. |
| IFTA decal number | IFTA | The number of the decal on the vehicle. |
| NY HUT method, NY HUT rate table | New York | Gross weight (the default) or unloaded weight, and the rate table you file under. |
| FHWA vehicle class | Connecticut | Class 8 to 13 (combination units) pay the fee. |
| New Mexico one-way hauler (two-thirds rate) | New Mexico | Switch on when the vehicle qualifies for the reduced rate for empty return trips. |
| Vehicle category (UNECE) | The European refunds | For example N2, N3, M2 or M3. Empty skips the category check. |
| Combination type | Switzerland, Iceland | Rigid truck, Tractor unit, Truck with trailer or Trailer / semi-trailer. Automatic (from vehicle type) derives it from the vehicle type. |
| Gross weight of the usual trailer | Switzerland | Added to the charged weight of the vehicle. |
| RUC vehicle type (New Zealand) | New Zealand | The vehicle type on the RUC license, for example 1, 6, 14 or H61. |
| Exempt from weight-distance taxes | The distance taxes | Leaves the vehicle out of every distance tax return. |
| Base jurisdiction, Plate jurisdiction | All | Where the vehicle is licensed and where its plate is registered. An empty base jurisdiction uses the platform's. |
Check the fuel transactions
With the module on, the Fuel & energy transactions list gets two columns. See Review fuel and energy transactions.
- Jurisdiction: where the fuel was bought. From location means Transportial derives it from the fuel stop's location when the transaction is saved. Choose a country and state to correct it.
- Tax paid: on for fuel bought at the pump with tax included. Switch it off for bulk or untaxed fuel, which gives no credit for tax paid.
Changes are saved straight away. Users without permission to edit fuel transactions see the values read-only.
