Manual status updates are a time-sink and a source of errors. Transportial's Message Automation engine monitors your operation in real time and fires pre-configured communications whenever a defined event occurs, whether that's a trip confirmed, a delivery completed, or a temperature threshold breached.

Drag-and-drop email template designer in Transportial showing a branded email with variable placeholders, content blocks, and desktop and mobile preview options
Design branded, variable-driven email templates without writing code.

Key highlights

  • 60+ trigger events: Automations fire on operational events including trip confirmed, trip started, stop completed, delivery confirmed, invoice created, invoice paid, temperature alert, and dozens more.
  • Five delivery channels: Send messages via Email (SMTP or Microsoft 365), SMS (Twilio), Telegram, Web Push notifications, and WhatsApp, all from the same automation rule.
  • Drag-and-drop email designer: Build beautiful, branded email templates without code using a drag-and-drop designer. Upload your logo, set brand colours, and arrange blocks visually.
  • Template Interpreter: Inject dynamic content using a powerful variable system: {{trip.reference}}, {{consignment.status}}, {{customer.name}}. Supports loops, conditionals, and date formatting.
  • File request automations: Automatically request documents from customers or carriers and track responses within the platform.
  • Question-answer workflows: Create interactive automations that ask customers a series of questions and record their answers.
  • Audience targeting: Each automation can target different recipients: the customer, the assigned driver, the dispatcher, or any custom contact list.

How it works

  1. Pick a trigger event

Choose from 60+ operational events: trip confirmed, stop completed, delivery confirmed, invoice sent, temperature threshold breached, document uploaded, and dozens more.

  2. Add conditions

Use filters or TQL conditions to fire only when it matters, for example only for a specific customer, only above a value threshold, or only during business hours.

  3. Design the message

Build the template in the drag-and-drop designer with your branding, and inject live data with variables like {{trip.reference}} or {{customer.name}}. Loops, conditionals and date formatting are supported.

  4. Choose channel and audience

Send via email, SMS, WhatsApp, Telegram or web push, targeted at the customer on the order, the assigned driver, the dispatcher, or a custom contact list, each with per-recipient personalisation.

  5. Let it run

From then on the automation fires on every matching event. Sent messages are logged, and outgoing email lands in the same threads as your manual correspondence.

The end of "just checking where my shipment is"

A large share of inbound calls and emails in any transport office are status questions: has it been picked up, when will it arrive, was it delivered. Answering them costs planner time and interrupts the work that actually moves shipments. The information exists in the system; it just never reaches the customer proactively.

Message automations invert that flow. When a trip is confirmed, a stop completed or a delivery signed, the event itself sends the update: an email in the customer's language, an SMS to the site contact, a push notification to the driver. Customers stop asking because they already know, and the office spends its time on exceptions instead of status reporting.

One engine, five channels, real data

The same automation engine drives email (SMTP or Microsoft 365), SMS via Twilio, WhatsApp Business, Telegram and web push. That matters because different audiences read different channels: a warehouse contact may want an SMS ten minutes before arrival, while finance wants an email with the invoice PDF attached.

Templates are not static text. The template interpreter injects live operational data through variables, supports loops for line items, conditionals for optional blocks, and formatting for dates and amounts. Combined with the drag-and-drop email designer, non-technical staff build and maintain the entire communication layer themselves.

Automations can also ask instead of tell: file request automations chase customers or carriers for missing documents and track the response, and question-answer workflows collect structured input such as delivery preferences.

Technical details

Automations are evaluated by the Worker backend node on an internal event bus backed by Apache Kafka. Email delivery uses SMTP or Microsoft Graph API. SMS uses the Twilio REST API.

Frequently asked questions

Which events can trigger an automation?

There are more than 60 trigger events across the platform, covering the order lifecycle (created, planned, in transit, delivered), financial events (invoice created, sent, paid), and telemetry alerts such as a temperature threshold being breached.

Can messages be sent in the customer's language?

Yes. Templates can be maintained per language and the automation selects the recipient's preferred language, so a Dutch customer and a German customer receive the same update in their own language.

Which channels are supported?

Email via SMTP or Microsoft 365, SMS via Twilio, WhatsApp Business, Telegram, and web push notifications in the browser and on mobile. One automation rule can serve different recipients on different channels.

Can an automation include attachments?

Yes. Automations can generate and attach documents such as the order confirmation, CMR or invoice PDF, and file request automations can ask the recipient to upload documents back to the platform.

How do I stop an automation from firing too often?

Every automation can carry filters or TQL conditions, so it only fires for matching orders, customers, value ranges or time windows. You control the precision of every rule.
