Manage contact persons and contact details
Add the people you deal with at a business and the e-mail addresses, phone numbers, IBANs and GLNs of businesses and locations.
Updated 4 October 2026
Transportial keeps two kinds of contact information. Contact persons are the people at a business, such as a planner or a finance clerk. Contact details are single values such as an e-mail address, a phone number or an IBAN. There is no separate contacts list: contact persons belong to a business, and contact details belong to a business, a location, a transport order or a driver.
Add a contact person to a business
- Open the side menu (☰) and choose Businesses.
- Click Edit at the end of the business row.
- Scroll to Contact Persons and click + Add contact information.
- Enter the First Name and Last name.
- Enter the E-mail, Position, Telephone number and Mobile phone number you know.
- Repeat for more people, then click Save.
To remove a contact person, click the close button (×) on their block and save the business.
Add a contact person while you work
On a transport order, quote or invoice, the Contact Persons field appears once you have chosen the business. It lists the contact persons of that business.
- Choose the customer or business first.
- Click the Contact Persons field and start typing a name.
- If the person is not there, choose New contact person.
- Fill in the name, e-mail, position and phone numbers.
- Click Save. The new person is selected and added to the business.
Add contact details
Businesses and locations have a Contact details section in their form.
- Open the business or location form and go to Contact details.
- Click + Add contact information.
- Choose the Type (see the list below).
- Enter the Value, for example the e-mail address or the phone number.
- Optional: click + Add comment and type a note in Remarks, such as "only during office hours".
- Click Save.
| Type | Use it for |
|---|---|
| A general or department e-mail address. | |
| Telephone number | A reception, planning desk or gate phone number. |
| IBAN | A bank account number, for example to show on documents. |
| GLN | A Global Location Number used in EDI messages. |
| VAT number | An extra VAT number. |
| Name | A name to contact, without creating a full contact person. |
| Different... | Anything else. |
Find contact information
- On a business, open the Information tab and expand Contact Persons or Contact details. The number in brackets shows how many there are.
- On a location, expand Contact details on its first tab.
- On a transport order, click the contact person's name next to the customer to open their details.
Contact details on a location are useful for drivers and planners: a gate phone number or a warehouse e-mail stays with the address, whichever customer the order comes from.
