Set order defaults per customer and location
Fill empty fields of new orders automatically, such as time windows, remarks and delivery terms, per customer, per location or for the whole platform.
Updated 13 October 2026
Order defaults save typing and prevent mistakes. Tell Transportial once that a customer always ships under DAP, or that a warehouse is only served during its opening hours, and every new order gets those values wherever it leaves the field empty.
Where you set defaults
| Level | Where | Applies to |
|---|---|---|
| Customer | The business form, section Order defaults. | New orders of this customer. |
| Location | The location form, section Order defaults (below Opening hours). | Stops at this location on new orders. Only the stop fields are available. |
| Platform | Settings, tab Environment, section Order entry. | Every new order. |
Set defaults for a customer
- Open the side menu (☰, top right), choose Businesses and open the customer.
- Click the pencil icon to edit the business.
- Go to Order defaults and fill in the fields you need (see below).
- Click Save.
For a location, open it from Locations, edit it and fill in Order defaults the same way.
The fields
- Time window: what to do with a stop that only has a start time, only an end time or no window length. Choose No default window, Fixed length from the entered time (with Window length (minutes)), Whole day or Opening times of the location. A stop with a full time window is never changed. When the location has no opening hours that day, the fixed length is used.
- Stop remark: a remark for the stop, for example "Report at gate 3".
- Order reference, Consignment remark, Consignment type and the delivery terms (Select delivery terms): customer and platform only.
Which default wins
For each field: what you enter on the order wins, then the stop's location (stop fields only), then the customer, then the platform. Defaults only fill empty fields; they never overwrite a value that is already there.
- Defaults are used when an order is created, whatever the source: the order form, the customer portal, the API, imports, order templates and recurring schedules. They are not applied again when you edit an order.
- In the new order form, the customer's defaults are filled in as soon as you choose the Customer. The customer's delivery terms replace the platform's default delivery terms in the form.
Customer portal users do not see order defaults. Assignment rules can still change a value that came from a default; see Assign orders and trips automatically.
