Plan with the plan board

Use the plan board to see vehicles, trips, drivers or trailers as rows, drag work onto them, couple resources and plan actions in bulk.

Who can do this: Requires at least one plan board feature on your platform. Editing trips requires permission to update trips.

The plan board is a live list of your vehicles, trips, drivers or trailers, with their current status, location, next stop and ETA. You plan by dragging consignments and resources onto rows. It is usually the first tab on your dashboard.

Open the plan board

  1. Click the home icon (Dashboard) in the header, or press Ctrl+D (Mac) or Alt+D (Windows).
  2. Make sure the dashboard view is set to Planning.
  3. Click the Planboard tab.
  4. If more than one board is available, choose the board in the selector at the far left: Vehicles, Chauffeur, Trips or Means of transport.
  5. Optionally click Open in new window to open the board in its own window.

Which boards you see depends on your platform's settings. A green Live badge means the board updates live.

Find rows

  • Use Search... and, on the vehicle board, the vehicle group selector.
  • On the trip board, use the arrows and the date picker to choose the period. The arrows move the period by its own length.
  • Filters opens filters for the board, for example status, plan status, availability, "without driver", next and last stop dates and location radius. A badge shows how many are active.
  • Sort orders the rows. The default is creation date, newest first.
  • Rows load in pages as you scroll. Depending on your platform's settings and your role, a Load all button loads all rows at once.

Read a row

  • The coloured bar at the left shows the plan status: green OK, red Too late, blue Too early, purple Off route and yellow when there is no trip. Your administrator can add extra colours and icons.
  • A transport-mode chip is green when the vehicle is On route and red when it is Off route.
  • Click the chevron to expand the trip's stops and drag them to change their order.
  • Click a row to open the vehicle, driver, trip or trailer in a side panel.

Plan by dragging

Open the resource search panel on the left and drag items onto rows.

  1. Choose a list in the panel: Consignment, Chauffeur, Equipments, Vehicle, Capacity contract or, with the Marketplace feature, Tender.
  2. Find the item with the search box or filters.
  3. Drag a consignment onto a vehicle row. It is added to the vehicle's current trip, or a new trip is created for the vehicle if it has none.
  4. Drag a driver or equipment onto a vehicle row to open the coupling form (see below).
  5. On the trip board, drag a consignment, driver, equipment, vehicle or capacity contract onto a trip row to add it to that trip.
  6. Drag a consignment onto an empty part of the board to create a new trip without a vehicle.

A capacity contract dropped on a trip makes it a forwarded trip. The chauffeur and means-of-transport boards do not accept drops.

Couple a driver or equipment

  1. Drag the driver or equipment onto the vehicle row. The form Attach driver or Attach equipment opens.
  2. Choose Attach now, or Schedule for later and set the Start date & time.
  3. Click Attach (or Plan when scheduled).

If the driver is unavailable, for example on holiday, Transportial warns you and asks Attach anyway, or blocks the coupling. This depends on your platform's settings.

Work with several rows at once

On the vehicle, chauffeur and means-of-transport boards in the Dynamic layout, tick the checkboxes of the rows. A bar appears with the number selected and these actions:

Click Clear selection to start over. The trip board also has checkboxes in the table layout.

Plan an action for later

A planned action is something that should happen at a set time, such as a break, refuelling, customs, or coupling a driver.

  1. Select one or more rows and click Plan action.
  2. Choose the Type, for example Break, Refuel, Customs, Weighing, Transfer or one of the coupling types.
  3. For coupling types, choose the counterpart, for example the driver to couple. In bulk you choose one per selected row.
  4. Set the Start date & time and Duration (minutes).
  5. Optionally enter a location and Remarks.
  6. Click Plan for followed by the number of items.

Planned actions appear on the row as a badge starting with Pending:. Click the badge to edit it (Edit planned action, then Save or Remove planned action), or click ✕ to cancel it.

Right-click menu

Right-click a row for quick actions. Vehicles offer Pair driver, Connect means of transport, Plan and Add to vehicle group. Trips offer status steps such as Confirm, Add consignment, Add stop, resource sub-menus, documents and Cancel. Drivers and trailers offer Attach to vehicle and Set availability.

On the trip board, the Trip remark cell can be edited in place, and for accepted trips you can pick the vehicle directly in the Vehicle name cell. Use Download to export the board to Excel.
