Plan trips on the planner timeline

Use the planner to see every vehicle as a lane on a timeline, drag trips between vehicles and times, and create work straight from the calendar.

Who can do this: Requires a planner feature on your platform. Creating and editing trips requires permission to create or update trips.

The planner shows your fleet on a timeline. Each vehicle is a lane, and its trips, calendar events, to-dos and planned actions appear as bars and markers in that lane. Use it when you want to plan by time: spot gaps, move trips between vehicles and resolve overlaps.

Open the planner

  1. Click the home icon (Dashboard) in the header.
  2. Make sure the dashboard view is set to Planning.
  3. Click the Planner tab.
  4. If your platform has more than one planner type, choose Vehicles, Chauffeur or Means of transport in the selector at the far left of the toolbar.
  5. Optionally click the Open in new window icon to open the planner in its own window, for example on a second screen.

The planner tab only appears when your platform has a planner feature switched on. Which planner types you can choose depends on your platform's settings. The driver timeline is described in Chauffeur planner.

Find your way on the timeline

  • Day, 2 days and Week switch the time scale. Day is the default.
  • The arrows move one day back or forward (one week in Week view). Today jumps to the current day and scrolls to the current hour. A red line marks the current time.
  • Hide empty lanes shows only vehicles that have work in the visible period. Click Show all lanes to bring the others back.
  • Keyboard: ← / → previous and next, T today, 1, 2 and 7 for Day, 2 days and Week.

Filter and sort the vehicles

  • Use Search..., the vehicle group selector (All vehicles by default) and Filters (planning, driver, equipment, status, stop-date and location filters) to limit the lanes.
  • Sort orders the lanes, for example by Name, Status, Last stop ETA or Fleet number.
  • Vehicles load in pages as you scroll. Depending on your platform's settings and your role, a Load all button loads every vehicle at once.

Read the lanes

  • Below each vehicle name are chips for its coupled drivers and equipment. Click × on a chip to uncouple it.
  • The colour of the bar's left edge and status dot follows the trip status: grey for requested and accepted, blue for confirmed, your platform colour for in transit, orange for pending completion, dark grey for completed and red for cancelled. Cancelled trips are faded and struck through.
  • A thin strip inside the bar shows driving, waiting and each stop: green for loading, orange for unloading, purple for breaks.
  • Two trips that overlap on the same vehicle get a red, pulsing border. Fix these conflicts by moving one of the trips.
  • Small markers show planned actions, such as a break or coupling a driver.

Create work from the timeline

  1. Choose what a click creates in the create dropdown: + Create trip, + Create calendar event or + Create action.
  2. Click an empty spot in a vehicle's lane at the time you want.
  3. Complete the form that opens on the right. The vehicle, and for trips and actions the time, are already filled in.
  4. Click Save.

You can also right-click an empty spot and choose New trip here, New calendar event or Plan action, regardless of the create dropdown.

Plan from the resource search panel

The panel on the left lists work and resources that you can drag onto the timeline. You can open it by default with the setting The left resource search panel opens (see Planning settings).

  1. Choose a list in the dropdown at the top of the panel: Consignment, Chauffeur, Equipments or, with the Marketplace feature, Tender.
  2. Search or filter the list to find what you need.
  3. Drag a consignment onto a vehicle's lane at the time the trip should start. Transportial creates a trip for that vehicle.
  4. Drag a driver or a piece of equipment onto a lane to couple it to that vehicle.
  5. Drag a driver, equipment or consignment onto an existing trip bar to add it to that trip.

Dropping a consignment on the vehicle name starts the new trip a few minutes from now. With Split consignment with automatic trip creation switched on, the new trip only covers the first unplanned leg of the consignment.

Move a trip

  1. Drag the trip bar along the lane to change its start time. The start snaps to 15 minutes (60 minutes in Week view).
  2. Drop it on another vehicle's lane to move the trip to that vehicle.
  3. Check the bar for a red conflict border after you drop it.

Planned-action markers and most calendar events can be dragged the same way. Bars cannot be resized.

Peek at a trip and use the right-click menu

Hover a trip bar for a moment to open a quick view with its status, times, resources, consignments and stops. If you may edit the trip, you can add or remove resources, consignments and stops right there.

Right-click a trip bar for Open, Edit, status steps such as Confirm or Start trip, Add consignment, Add stop, the Vehicle, Drivers and Equipments sub-menus, and documents such as Download standard PDF. Right-click a stop inside the bar to Add stop after this one, Open location or Remove this stop. Right-click a vehicle name for actions such as Pair driver and Connect means of transport. Hold Shift while right-clicking to get your browser's normal menu.

Completed and cancelled trips cannot be edited from the planner. Cancelling a trip is done from the trip itself; see Cancel or split a trip.
