Create message templates for chat
Prepare reusable chat texts with fields from the vehicle or trip, and insert them into a message with a few clicks.
Updated 5 October 2026
A message template is a prepared chat text that you use again and again, such as loading instructions or a standard reply to a driver. Templates can contain fields, for example the vehicle's name or the trip's next stop. When you insert the template into a chat, Transportial fills in those fields for that chat's vehicle or trip.
Create a template
- Open the side menu (☰, top right) and choose Message templates.
- Click + Create message template.
- Enter a Name. You search for templates by this name later.
- Choose the language in Select a language.
- Choose what the fields refer to in Select entity context: Vehicle or Trip.
- Write the text. To insert a field, type two curly brackets and the first letters of a field name, then pick the field from the list.
- Click Save.
Fields are written between double curly brackets. For example, with the context Vehicle:
Hello, please report to the gate with {{name}}.Your licence plate {{licensePlate}} is registered for the night shift.
With the context Trip, the fields come from the current trip of the vehicle linked to the chat. Templates are therefore most useful in vehicle chats.
Use a template in a chat
- Open the chat and click the template icon in the message box toolbar. Select message template opens.
- Choose the language in Select a language.
- Search for the template by name and select it.
- Click Apply. The filled-in text appears in the message box.
- Check or adjust the text, then send it.
The template is never sent automatically; you always see the text first. In the same dialog you can also create a new template by typing a new name, or edit the selected one if you have permission.
Change or remove a template
The Template messages list shows each template's Name, Language and Context entity. Use Search... to find one.
- Choose Edit on a row, change the template and click Save.
- Choose Remove on a row. In Delete message template, confirm with Remove to delete it.
Make one template per language with the same name. Users then pick their language first and find the right version straight away.
For messages that should be sent without anyone clicking, see Message automations.
