Organise to-dos on boards and lanes

Create boards for each process, add your own lanes, and drag to-dos from lane to lane as the work progresses.

Who can do this: The Todo platform feature.

A board groups the to-dos of one process or team, for example "Workshop" or "Customer service". Each board has lanes, like columns on a whiteboard. You drag to-dos from lane to lane as the work moves on.

Create a board

  1. Open the Todo tab on the dashboard.
  2. Click + Create New and choose Board.
  3. Enter a Name (up to 35 characters).
  4. Optionally write a Description.
  5. Click Save.

Every new board starts with three lanes: To do, In progress and Done. These are set by the system and cannot be renamed or removed.

Find and open a board

  1. Choose Boards in the drop-down at the top left.
  2. Choose My Boards (boards you created) or All Boards.
  3. Use the search box to find a board or a to-do.
  4. Click a board card to open it.

Each card shows the description, who created it and when, the number of attachments and comments, and the number of to-dos per lane.

Work on a board

  • Drag a to-do card to another lane to move it on. Dropping it in To do, In progress or Done changes its status accordingly. Your own lanes keep the to-do's current status.
  • Drag to-dos within a lane to change their order.
  • Click + on a lane to create a to-do directly in that lane.
  • Click View Overdue Only to see only overdue to-dos.
  • Choose My To-Do or All To-Dos, or use the search box, to filter the cards.
  • Click Go Back to Boards to return to the list.

Add and arrange lanes

  1. Inside the board, click + Create New and choose Step / Lane.
  2. Enter a Name (up to 20 characters).
  3. Pick a Color. Colours already used by another lane cannot be chosen.
  4. Click Add. The lane appears under Arrangement.
  5. Drag the lanes under Arrangement into the order you want.
  6. Click Save. Nothing is stored until you do.

To rename a lane, click its name under Arrangement, change it and click Update, then Save. On the board itself you can also drag lanes by their handle to reorder them.

Removing a lane with the bin icon on the board also deletes the to-dos in it. Move the to-dos to another lane first.

Edit or remove a board

  • Click the pencil on a board card, change the name or description and click Update.
  • Click the bin on a board card and confirm with Remove to remove the board.
