Chat with colleagues and drivers
Start one-to-one and group chats, send files and templates, and follow vehicle and consignment chats with read receipts and translations.
Updated 5 October 2026
Transportial has a built-in chat. You use it to talk to colleagues, and to drivers through the chat of their vehicle in OpenMove or on the board computer. Every vehicle and consignment can have its own chat, so the conversation stays with the work it is about.
Open your messages
- Click the chat icon in the header. A drop-down shows your latest chats; a number on the icon shows how many messages are unread.
- Click Details in that drop-down to open the full Messages page, or New message to start a chat.
- On a phone, tap the chat icon in the bottom bar.
The Messages page shows your chats on the left and the open conversation on the right. On a phone you see the list or the conversation; tap back to return to the list.
Start a new chat
- Click the pencil icon above the chat list, or New message in the header drop-down.
- Type a name in Add people ... and pick a colleague from the list. Repeat to add more people.
- If you added more than one person, enter a Group name.
- Type your message in Type your message here ....
- Click the arrow button to send it.
If you already have a one-to-one chat with that person, Transportial adds your message to the existing conversation instead of creating a second one. A notice at the top tells you so.
Write and send messages
The message box has a small toolbar:
- The paperclip icon adds images, PDFs or documents. You can also drag files onto the message box.
- The template icon inserts a prepared text. See Message templates.
- The warning-triangle icon marks the message as important.
- The envelope icon (Also send as email reply) is only shown in chats that received an email. Switch it on to send your reply to the sender by email as well.
If the chat is connected to an external channel such as WhatsApp or SMS, tick Send to external channel and choose the channel in Select channel. See Manage a chat.
Reply to an email in a chat
Emails that are filed in a chat, for example in a consignment chat, appear as email cards. You can answer them by email without leaving the chat.
- Click the header of the email card to open it.
- Click Reply. The panel Reply to followed by the sender's name opens.
- Check the Subject and write your reply.
- Optionally drop files in the attachment area to attach them.
- In a consignment chat, optionally click Attach order documents, tick the documents and click Attach followed by the number of documents.
- Click Send. Your reply also appears in the chat.
The Reply button is only shown on received emails, and only if you may write in chats.
Read a conversation
- New messages since your last visit are marked with an Unread messages line.
- Ticks next to your messages show their status. Hover over them to see Sent, Delivered to everyone or Read by everyone. A person icon means Read by the driver.
- Click See Translation under a message from someone else to translate it into your language. Click See Original to switch back.
- Click a file to preview it.
- On a vehicle's Messages tab, open the ⋮ menu next to a message with files and choose Add files to trip to store the files on the vehicle's current trip. If the trip has several consignments, you choose which ones get the files.
Find a chat
- Type in the Search... box above the chat list. Results appear as you type.
- Use the arrow keys to move through the results and press Enter to open one. Press Escape to clear the search.
- Click a filter to narrow the list: 1:1, Groups, Vehicles or Consignments. Click it again to remove the filter.
Click the All messages icon above the list to see the latest messages from all your chats in one feed.
More options
Open the options menu (⋮) at the top of an open chat:
- Show status messages / Hide status messages: show or hide automatic status updates, such as those from the board computer.
- Mark as unread: mark the chat as unread so you remember to come back to it. You can also right-click a chat in the list.
- Manage chat: change members, settings and integrations. See Manage a chat.
Vehicle and consignment chats
Open a vehicle or a consignment and click the Messages tab to see its chat. Messages you send there reach the driver of that vehicle. Depending on your platform's settings, status messages may be hidden by default, and the read status of these chats may be shared by all users, so a message one planner has read counts as read for everyone.
