Manage users

Add and invite users, choose their role and account type, block or remove them, and approve access requests.

Who can do this: The user permission. You can only give roles up to your own access level.

Everyone who works in Transportial needs a user: planners, finance staff, managers, drivers and customers who use the portal. A user's role decides what they can do, and the account type decides what kind of user they are.

Open the users list

  1. Open the side menu (☰, top right) and choose Users.
  2. Search by name, username or email with the search box.
  3. Scroll down to load more users.
  4. Click a user to open their details.

The table shows Avatar, Full name, User name, E-mail and Account type, and optionally Made on and Modified on.

Add a user and send an invitation

  1. In the users list, click + New user. The New user panel opens.
  2. Optionally, click Upload picture to add a profile picture.
  3. Enter the First Name, Last name, Username and E-mail.
  4. Choose a role in Select role. You only see roles up to your own access level.
  5. Choose the account type in Select account type (see below).
  6. For a customer or supplier user, choose the businesses in Companies this user can see.
  7. Choose the user's language in Select a language.
  8. Click Invite. Transportial saves the user and emails them a link to set their password. Click Save instead to save without sending an email.

Account types

  • Planning: internal staff who plan and manage transport.
  • Finance: internal finance staff. Only offered when your platform has the financial functions.
  • Customer: a customer's employee who uses the customer portal and only sees data of the businesses you select. See Customer portal.
  • Supplier: a subcontractor's employee, limited in the same way to the businesses you select.

Work with a user

The user's detail panel shows their phone, email, role and language, with notes and a Complaints tab. Use the icons at the top:

  • The pencil (✎) opens the same form as above to change the user. Click Save when you are done.
  • The options menu has Invite user (send the invitation again, for example when it expired), Create driver (make a driver record for this user) and Connect with driver (link the user to an existing driver, so they can use the OpenMove app). See Invite a driver to OpenMove.

Block, unblock or remove a user

  • Click Block at the end of the row to stop the user from logging in. Click Unblock to let them in again.
  • Click Remove at the end of the row and confirm with Remove in the Delete user dialog to delete the user.

You cannot block or remove yourself.

When someone leaves, block the user rather than removing it. Their name stays on the orders, trips and messages they worked on.

Approve access requests

If your platform lets people request access, the users page has an Access requests tab. A number shows how many requests are waiting.

  1. Click the Access requests tab.
  2. Check the Full name, E-mail, Company Name and Requested at of each request.
  3. Click Approve and confirm to give access. The person can log in immediately.
  4. Or click Decline and confirm. Their account is removed.
