Forward a trip to a partner

Subcontract a trip to a carrier under a capacity contract, agree a spot quote and send them the booking.

Who can do this: The capacity (subcontracting) feature.

When a carrier drives part of your work, you plan it as a Forwarded trip. Instead of your own vehicle, you choose the carrier's capacity contract. Transportial creates a booking for the carrier, sends it when you confirm, and tracks the carrier's cost on the trip.

Before you start

  • Set up a capacity contract with the carrier, including how bookings are sent to them. See Capacity contracts.
  • The contract's communication method decides how the carrier receives the booking: Integration, Message Automation or PDF Download.

Create a forwarded trip

  1. Open the side menu (☰) and choose New trip.
  2. Click the Forwarded tab.
  3. Enter a Name and the Start date & time.
  4. Choose the carrier's contract in Select capacity contract.
  5. To agree a one-off price, switch Spot Quote on and enter the quote lines (quantity, price and VAT rate).
  6. Fill in the transport details asked for the contract's modality, such as the Booking number for road or the bill of lading number for sea.
  7. Select the consignments the carrier transports.
  8. Click Save. Calculating the route is optional for forwarded trips.

The trip gets the type Forwarded and a booking. A placeholder vehicle for the carrier is put on the trip, so it appears on your boards. The Booking tab shows the booking type, number, business, references, modality, the route and the costs.

If a vehicle in your fleet belongs to a carrier and has a capacity contract, every trip you plan on it becomes forwarded automatically.

Send the booking

  1. Open the forwarded trip.
  2. Click Confirm. The booking is sent to the carrier by the contract's communication method.
  3. For PDF Download, click the Download PDF icon in the header.
  4. Choose the language in Select a language. It defaults to the carrier's preferred language.
  5. Click Download standard PDF, or the template button if the contract has its own document template.
  6. Send the PDF to the carrier.

If you cancel the trip later, the carrier booking is cancelled and sent again with that status.

Let the carrier report progress

  • Click Share execution view and send the link to the carrier's driver, so they can register stops and upload documents. See Send a trip to the driver.
  • Or click Share to give the carrier a read-only view.
